• Photographs, video, and audio recordings captured during seminars;

• Date of birth (for minor participants only);

• Signed legal documents (waivers, media releases, consent forms).

When you visit any of our websites — ocularamindsight.com, ocularafield.com, and floridaskywatching.com (hosted on Wix, Squarespace, and Netlify respectively) — we or our service providers may collect IP address, browser and device type, pages visited, referring URLs, and cookie data as described in Section 6.

4. HOW WE SHARE YOUR INFORMATION

We do NOT sell your personal information. We may share information with:

• Payment processors (Stripe and/or Helcim);

• Website platforms (Wix, Squarespace, and Netlify);

• Email and marketing service providers, including the email tools built into our website platforms;

• Insurance providers, in connection with claims or incidents;

• Caterers (dietary restrictions only, as needed for your safety);

• Venue operators (limited contact info as required by venue policy);

• Legal and regulatory authorities when required by law;

• Emergency services (Health Data and emergency contact info in a medical emergency).

This data is: accessible only to instructors and designated safety staff and relevant caterers; used SOLELY for participant safety and dietary accommodation; retained for 3 years after the seminar date (to support any potential legal claims within the limitations period); and securely destroyed after the retention period.

8. CHILDREN’S PRIVACY

We collect personal information about minors (ages 12–17) only with verifiable parental or guardian consent. We do not knowingly collect information from children under 12. If you believe we have inadvertently collected information from a child under 12, please contact us and we will delete it.

9. DATA SECURITY & RETENTION

We implement commercially reasonable safeguards to protect your information, though no method of transmission or storage is 100% secure. Retention periods: registration and payment records — 7 years (tax/financial compliance); signed waivers and legal documents — 7 years from the seminar, or until a minor participant turns 25, whichever is later; Health Data — 3 years; marketing preferences — until you unsubscribe; Media — indefinitely unless removal is requested and applicable.
